General objective of the job

As the Executive Secretary Manager at Kemedar, you are responsible for overseeing all executive secretarial and administrative functions. Your role involves managing a team of executive secretaries and administrative staff to ensure efficient support for senior executives and optimal office operations.

Reports to: Head of Legal and Administrative Affairs

Coordinates with: Personal Assistants, HR Department, Legal Affairs Manager, all department heads

Oversees: All executive secretaries and administrative staff within the organization

Main Duties of The Job


    • Oversee the daily operations of the executive secretarial and administrative staff, ensuring all executives receive efficient and effective support.
    • Develop and implement policies and procedures for administrative functions to enhance efficiency and quality of work.
    • Manage schedules and calendars for senior executives, coordinating meetings, travel arrangements, and corporate events.
    • Ensure that all communication, both internal and external, is handled promptly and professionally.
    • Train and mentor secretarial and administrative staff, providing regular feedback and career development advice.
    • Manage the recruitment, onboarding, and continuous training of new secretarial and administrative personnel.
    • Oversee the maintenance of office equipment and supplies, ensuring that all resources are available as needed.
    • Prepare and manage the budget for the secretarial and administrative departments.
    • Coordinate with IT and facilities management to ensure all technical and physical resources are adequately supported.
    • Handle confidential documents and communications with discretion and in compliance with corporate policies.

We expect that you have..!

Education

Bachelor’s degree in Business Administration, Management, or a related field. Additional certification in office management or executive support is advantageous.

Experience

Minimum of 5 years of experience in an executive support role, with at least 3 years in a managerial capacity overseeing a team.

Language

Excellent English required

Technical Skills

Proficiency in office management software, including Microsoft Office Suite and corporate communication tools.

Personality

Professional, poised, and capable of maintaining a calm demeanor under pressure.

Personal Skills

Strong interpersonal and communication skills, ability to manage multiple tasks simultaneously, and exceptional organizational abilities.

Bar admission is mandatory. Certifications in corporate governance or compliance may be advantageous.
